This notice explains how UKVS Commercials uses personal information submitted through this website, including vehicle enquiries and the Build Your Vehicle service.
ukvs is responsible for personal information collected through this website. You can contact us at ukvs@live.co.uk, by telephone on (024) 7661 5855, or at Railway Siding, 17 Church Road, Shilton, Coventry CV7 9HX.
When you contact us or use Build Your Vehicle, we may collect your company name, contact name, email address, telephone number, vehicle or build details, selected options and any message or enquiry information you provide. We may also collect limited technical information needed for security, such as a one-way hash derived from an IP address.
We use personal information to respond to enquiries, prepare quotations, discuss vehicles and specifications, provide access to website features, provide customer service, maintain appropriate business records, and progress finance or warranty requests where you ask us to do so.
Depending on the circumstances, we process information because it is necessary to take steps at your request before entering into a contract, to perform a contract, to comply with a legal obligation, or because we have a legitimate interest in responding to genuine enquiries, operating the website securely and providing customer service. Where consent is required, we will ask for it separately.
We do not sell personal information and we do not share it with third parties for unrelated marketing. We may share information where necessary to provide a service you requested, for example with a relevant finance or warranty provider, website/hosting service provider, professional adviser, or where required by law or a regulator.
Some third-party services, such as video, analytics or technology providers, may process information outside the UK. Where UKVS uses such services, the provider is expected to use an appropriate legal safeguard for any restricted international transfer.
We retain enquiry and customer information only for as long as reasonably necessary for the purpose it was collected, the customer relationship, legal or regulatory requirements, dispute handling and appropriate business records. Information that is no longer required is deleted or anonymised where appropriate.
UKVS uses a limited first-party website counter to understand how many people visit the site, which pages are viewed, broad referral sources and device types. Raw IP addresses are not stored in the statistics file. A short one-way daily hash may be used to estimate unique visitors and is removed after 31 days; aggregate daily totals may be retained for up to one year. We use this information for our legitimate interest in understanding and improving the website and customer experience.
The website uses essential session technology for security and protected features. Optional analytics, if enabled, is not loaded unless you allow it. Third-party video and interactive map content is not loaded until you choose to load it. See our Cookie Policy.
Depending on the circumstances, you may have rights to access personal information, correct inaccurate information, request deletion or restriction, object to certain processing, and receive information in a portable format where that right applies. If processing is based on consent, you can withdraw consent at any time without affecting earlier lawful processing.
If you have a concern, please contact UKVS first so we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator. Visit ico.org.uk for current complaint information.
We review this privacy notice when our services or use of personal information changes and update it where necessary.
Where you buy or enquire about a vehicle, UKVS may retain your contact details, quotations, invoices and vehicle purchase history for sales administration, warranty support, accounting, legal obligations and customer service.
UKVS may hold business contact information for relevant commercial organisations. We record the source of marketing data, subscriber type and the applicable lawful basis or consent. Sole traders and certain partnerships are not sent electronic marketing unless the required consent or soft opt-in applies. You can object to direct marketing at any time; where you do, UKVS keeps the minimum information needed on a suppression list so that you are not contacted again.
